Hold a “History Harvest”

If your location has ties to the 100th/442nd story, consider adding a pre-screening event where the public shares memorabilia in an Antiques Roadshow–style showcase.

Event Guidelines

Key considerations for planning a 100TH Film Screening and History Harvest event:

- Target at least 200 viewers. Most schools, community rooms and other gathering spaces accommodate 200-600 seats.
- Presenters control their own guest list. An RSVP system like Eventbrite.com is suggested to not exceed room capacity limits.
- Projection & Sound by Presenter. Most schools, community centers have built-in projection equipment. Outdoor inflatable projection equipment and screens are also amazingly affordable, typically a few hundred dollars per event. Mics and PA are also helpful, especially for the discussion segment.
- AV Connections. We hand-carry in the film on jump drive with laptop computer. Ports include USB and HDMI options.

On behalf of the organization noted above, I agree to all Test Screening Agreement terms noted below.

Screening Agreement for “THE 100TH, Seeds of Aloha” By and between ID8, a Hawaii 501(c)(3) nonprofit, the “Producer” of “Shaka, A Story of Aloha,” a documentary “Film” and the Organization noted in this form as “Presenter” of a screening “Event.” This agreement is dated as of the date of filing the online form. TERMS 1. Presenter proposes to produce a screening of the Film at the time, date and location as noted in the form above. 2. Producer reserves the right to hand-walk the Film into the venue just before the screening time. The Producer may also make the film available via DCP (Digital Cinema Package) or other file format with password to open the file. 3. If Presenter charges admission for the Film, Producer will receive 50% of proceeds, payable immediately upon screening of the Film. 4. Presenter may have associated fundraising activities and retain all proceeds from food and beverage, product sales and/or silent auctions. 5. Presenter may control guest list, agenda and run a ticket registration system to ensure that maximum capacity is not exceeded. 6. Presenter may use Film graphics provided by Producer to promote the event. 7. Presenter will comply with all rules, regulations, permit requirements, safety provisions and any other best-practices for events. 8. Presenter will not allow anyone, including guests to copy or record the Film. 9. Presenter will provide event insurance and agrees to indemnify the Producer and it’s representatives for any and all liabilities that may arise from the Event. 10. Producer agrees to indemnify Presenter and it’s representatives for any and all content contained in the Film. 11. Both parties waive their rights to demand or sue for liability and/or damages as Presenter is not charging any fees for presenting the Event and Producer is charging no fees for providing the Film. 12. Both parties have the right to terminate this agreement by giving two week’s written notice. 13. If either party fails, refuses, neglects or is incapable to perform their respective obligations under this agreement or are otherwise in breach of any material obligation, this agreement may be terminated by the other party upon 10 days written notice to the other party. In the event of failure, no party will be entitled to claim any loss or damage of any kind including but not limited to property or for any personal injury, illness or death caused or suffered. 14. This agreement constitutes the entire agreement between the parties and replaces and supersedes all previous agreements, promises, assurances, warranties, representations and understandings between them with respect to its subject matter. 15. Each party acknowledges that it does not rely on the other party and shall have no remedies in respect of any statement, representation, assurance or warranty (whether made innocently or negligently) that is not set out in this agreement. Neither party shall have any claim for innocent or negligent misrepresentation or negligent misstatement based on any statement in this agreement. 16. This agreement and any dispute or claim arising out of or in connection with it, or its subject matter or formation, shall be governed by and construed in accordance with the law of the State of Hawai’i. This agreement and any dispute or claim arising out of or in connection with it shall be governed by the laws of State of Hawai’i, except that if the parties agree to another jurisdiction, that jurisdiction shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with this agreement. By filing the form associated with these terms, Presenter acknowledges and agrees to all terms stated herein.
